The Role The Events Executive is responsible for coordinating and executing private functions, corporate events, member experiences, and entertainment programmes across the club's venues. The role ensures seamless event delivery by working closely with internal departments, clients, vendors, and operational teams to deliver exceptional guest experiences while maintaining high service standards. Key Responsibilities Event Planning & Coordination Coordinate and execute a wide range of events including corporate functions, private celebrations, member events, networking sessions, wellness programmes, live entertainment, and themed activations. Support the end-to-end planning process from enquiry and booking through to event completion. Prepare event orders, function sheets, timelines, and operational briefings. Conduct venue walkthroughs and site inspections with clients when required. Liaise with clients to understand event objectives, requirements, and expectations. Event Operations & Execution Oversee event setup and breakdown to ensure all requirements are fulfilled accurately and on schedule. Coordinate venue layouts, seating arrangements, décor, signage, and guest flow. Act as the primary point of contact during events to ensure smooth execution. Monitor event timelines and proactively resolve operational issues. Support after-hours and weekend events when required. Stakeholder & Vendor Management Coordinate with F&B, Membership, Operations, Facilities, and Finance teams to ensure event readiness. Liaise with external vendors, entertainers, suppliers, and contractors. Manage vendor schedules, deliveries, and onsite support requirements. Entertainment & Technical Coordination Coordinate operational requirements for live bands, DJs, speakers, and performers. Support basic AV and technical arrangements for presentations, meetings, and entertainment programmes. Work alongside Operations and Facilities teams to ensure technical requirements are met. Administrative & Reporting Duties Maintain accurate event records, bookings, contracts, and client correspondence. Track event attendance, guest feedback, and event performance metrics. Ensure event documentation and operational records are updated promptly. Requirements Diploma in Hospitality, Events Management, Business, Marketing, or a related field. Minimum 2 years of experience in events, hospitality, F&B operations, or venue management. Strong organisational and multitasking abilities. Excellent communication and interpersonal skills. Ability to work independently and under pressure in a fast-paced environment. Proficiency in Microsoft Office/Adobe applications. Willingness to work evenings, weekends, and public holidays when events require. Preferred Skills Experience within hospitality, private clubs, hotels, restaurants, or lifestyle venues. Familiarity with event management systems and booking platforms. Basic understanding of audio-visual equipment and event technical requirements. Knowledge of live entertainment, sound systems, and event production would be advantageous.
