Responsibilities: Account & Governance Administration Manage the day-to-day administration of Healthy 365 internal user accounts, including account creation, modification, password resets and account deactivation. Support governance activities by preparing monthly, quarterly and half-yearly account access reports. Perform Healthpoints governance audit checks and prepare reports for management review and governance meetings. Ensure governance records and documentation are maintained accurately and in accordance with established policies. PMO Operations & Knowledge Management Support day-to-day PMO operations to ensure the smooth administration of the Healthy 365 platform and related governance activities. Coordinate IT service requests and incident follow-ups with internal technology teams, and maintain updates to the project risk register. Track and analyse user data and operational feedback to support reporting and decision-making. Maintain and update project documentation, governance policies, SOPs, process flows, user guides and FAQs to ensure information remains current. Support the development and maintenance of the Healthy 365 Knowledge Base, including training content for the Healthy 365 Knowledge AI Bot. Identify opportunities to improve operational processes and documentation to enhance efficiency and governance compliance. Secretariat & Stakeholder Support Provide secretariat support for governance meetings by coordinating meeting schedules, agendas, calendar invitations and venue arrangements. Prepare meeting minutes, track action items and follow up with stakeholders to ensure timely completion of deliverables. Coordinate with internal and external stakeholders to facilitate communications, consolidate feedback and support project activities. Maintain organised project documentation and ensure information is shared accurately and promptly. Requirements Diploma or Degree in Information Technology, Business Information Systems, Project Management or a related discipline. 1–2 years of relevant experience in PMO support, project administration, operations support, governance, or digital transformation projects. Experience supporting application governance, project coordination or business operations will be an advantage. Proficient in Microsoft Office applications, particularly Microsoft Excel (Pivot Tables, Lookup functions, data reconciliation, reporting and basic formulas). Strong organisational, coordination and administrative skills with the ability to manage multiple priorities simultaneously. High attention to detail with experience handling documentation, governance records and operational reporting. Good written and verbal communication skills, with the ability to work effectively with internal and external stakeholders. Able to work independently while collaborating effectively within a cross-functional team. Comfortable working in a fast-paced environment with changing priorities.
