About this role

Responsibilities Incident & Release Management Support incident triaging, logging and reporting by maintaining incident records and tracking issue resolution. Monitor and report the status of enhancement backlogs across multiple workstreams for monthly project reviews. Coordinate monthly application releases, including obtaining necessary approvals, tracking deployment progress and conducting post-release sanity checks. Follow up on outstanding issues and enhancements to ensure timely resolution. Project Support & User Acceptance Testing (UAT) Assist in gathering, documenting and clarifying business and system requirements. Coordinate and support User Acceptance Testing (UAT), ensuring new features meet business requirements and quality standards. Track testing outcomes, document defects, and work closely with development teams until issues are resolved. Support continuous enhancement initiatives by identifying process gaps and improvement opportunities. Operations, Documentation & Knowledge Management Maintain and continuously improve operational documentation, including SOPs, user guides, process flows, feature documentation and FAQs. Support the development and maintenance of H365 knowledge resources, including training content for the H365 Knowledge AI Bot. Perform operational support activities to ensure the smooth day-to-day functioning of the H365 application. Raise and monitor IT service requests and incidents with internal IT teams, and assist in maintaining project risk registers. Prepare operational reports by tracking user data, system performance and user feedback. Stakeholder & Communications Coordination Coordinate communication activities with internal and external stakeholders, including reviewing user communications and documentation. Support stakeholder engagement by consolidating feedback and ensuring timely dissemination of project updates. Respond to documentation and process-related queries to ensure alignment across project teams. Secretariat & Administrative Support Provide secretariat support for project meetings by coordinating agendas, scheduling meetings, preparing meeting materials and recording minutes. Track action items and follow up with stakeholders to ensure timely completion of deliverables. Maintain organised project documentation and support other administrative and operational activities as required. Requirements: Diploma or Degree in Information Technology, Business Information Systems, Project Management or a related discipline. 1–2 years of relevant experience in PMO support, project coordination, operations support, business support, or User Acceptance Testing (UAT). Experience supporting digital transformation, application implementation or system enhancement projects will be an advantage. Proficient in Microsoft Office applications, particularly Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, data reconciliation, reporting and basic formulas). Strong organisational and administrative skills with the ability to manage multiple priorities and deadlines. Experience coordinating meetings, preparing agendas, taking meeting minutes and tracking follow-up actions. Excellent attention to detail, especially in documentation, data validation and records management. Good written and verbal communication skills with the ability to work effectively with cross-functional stakeholders. Able to work independently while collaborating effectively within a project team. Comfortable working in a fast-paced environment with changing priorities. Experience in process documentation, SOP development or continuous process improvement will be an advantage.
