Position Overview We are seeking a highly organized, executive-level Administration & Finance Assistant to act as a critical operational bridge between our executive leadership and external professional institutions. Based in our Singapore HQ, your primary focus will be two-fold: executing corporate restructuring/entity conversions with corporate secretarial firms, and driving commercial financing milestones with loan brokers. This role demands meticulous attention to detail, exceptional communication skills, and the ability to securely handle sensitive corporate data. Key Responsibilities 1. Corporate Secretarial & Conversion Coordination Act as the primary point of contact for external Corporate Secretarial Firms to execute end-to-end entity conversions and restructuring workflows for company directors. Meticulously track all conversion milestones, including document preparation, formal signatures, and official ACRA filing submissions to ensure punctual compliance. Coordinate internally with directors, shareholders, and cross-functional teams to secure required authorizations and signatures. Systematically archive and maintain all corporate statutory documents, legal certificates, and approval trails to ensure full compliance and audit readiness. Provide regular, proactive progress updates to executive management, flagging potential bottlenecks or regulatory delays early. 2. Financial Financing & Loan Execution Serve as the key operational interface with financial brokers and intermediaries to drive commercial lending and financing projects. Assist brokers in compiling comprehensive loan credit profiles, including corporate KYC files, financial statements, bank records, and business descriptions. Monitor sales pipeline velocity, ensuring seamless and rapid communication flow between brokers, company directors, and internal teams. Organize and schedule financing evaluations, bank due diligence requests, and official signing sessions. Compile routine pipeline progress reports, documenting channel feedback and actionable next steps for management. 3. Cross-Border Operations & Admin Support Facilitate clear communication and data flow between the China Operations Center and the Singapore Headquarters. Provide high-level ad-hoc administrative and operational support to the General Manager’s office. Requirements Must-Haves: Education: Diploma or Degree in Finance, Accounting, Business Administration, Corporate Secretarial Studies, or related fields. Experience: 1–2+ years of experience. Direct experience with corporate registrations, ACRA filings, or SME business loans is highly preferred. Technical Knowledge: Familiarity with the Singapore Companies Act, ACRA filing frameworks, and standard commercial lending channels. Software Proficiency: Highly proficient in Microsoft Office (Word, Excel, PowerPoint) with the ability to navigate basic financial/accounting documentation. Language Skills: Full professional working proficiency in English and fluent Mandarin (vital for seamless collaboration with our regional entities and cross-border teams in China). Competencies: Outstanding coordination skills; a high degree of confidentiality and integrity when handling sensitive corporate portfolios; exceptional multi-tasking abilities in a high-speed environment.
