Company Overview Our client is an established company specialising in the wholesale distribution of electronic components and the testing of equipment such as printers, scanners, photocopiers, and other related machines. As the company continues to expand its operations and technical team, it is looking for a reliable HR & Finance Executive to strengthen its internal HR, payroll, invoicing, and administrative functions. Role Overview The HR & Finance Executive (Graduate Traineeship) will support the day-to-day human resources and finance administration of the company. The role covers payroll processing, CPF submissions, employment documentation, employee record management, invoicing, quotations, GST-related matters, and basic accounting coordination. The successful candidate will work closely with management and the existing HR support personnel to ensure a smooth transition and continuity of the company’s HR and finance processes. This position is suitable for a detail-oriented fresh graduate or junior professional who is willing to learn and take ownership of operational responsibilities. Full-time conversion is possible for discussion, upon good performance during the traineeship stint. Key Responsibilities Human Resources and Payroll Support the preparation and processing of monthly payroll, employee claims, allowances, and other payroll-related transactions. Prepare and submit CPF contributions accurately and within the required timelines. Draft offer letters, employment contracts, confirmation letters, and other HR-related correspondence. Maintain accurate and confidential employee records, personnel files, attendance information, and leave records. Assist with employee onboarding and offboarding documentation. Respond to general employee enquiries relating to payroll, leave, claims, and HR administrative matters. Support the implementation and documentation of internal HR policies and procedures. Ensure HR practices and documentation are aligned with applicable Singapore employment regulations. Finance and Accounting Administration Prepare invoices, quotations, payment records, receipts, and other supporting financial documents using QuickBooks. Monitor outstanding invoices and assist with payment follow-ups when required. Process supplier invoices, employee claims, and payment documentation accurately and promptly. Maintain organised and up-to-date accounting records and supporting documents. Assist with GST computation, documentation, and submission preparation. Support bank reconciliations, month-end and year-end closing activities. Prepare documents and schedules required for audits, tax matters, and management review. Coordinate with external accountants, auditors, tax agents, and relevant service providers when necessary. Assist with general administrative duties and other HR or finance-related tasks assigned by management. Requirements Degree in Accountancy, Finance, Human Resource Management, Business Administration, or a related discipline. Fresh graduates are encouraged to apply. Only Singaporeans. Familiarity with QuickBooks or other accounting software is preferred. Basic understanding of payroll, CPF contributions, GST, invoicing, and employment documentation would be advantageous. Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook. Able to communicate in Mandarin to support regular communication with Mandarin-speaking management and stakeholders. Strong numerical accuracy, attention to detail, and document-management skills. Able to handle confidential employee and financial information professionally. Organised and capable of managing multiple administrative deadlines. Proactive, responsible, and willing to learn new HR and finance processes. Able to work independently while collaborating effectively with management and other team members.
