About this role

Job Responsibilities Staff Engagement & Culture building Conduct Employee Engagement Surveys, collate and analyse data and follow up on the results to improve staff engagement level. Support Organisational Development (OD) Committee in executing OD initiatives, such as calling for tenders, liaising and coordinating with consultants on administrative matters (such as meeting scheduling, collating data/reports, etc.) Support and/or organise on-going engagement activities such as Townhalls, Teambonding, and develop new Culture building activities or events to promote interaction and learning amongst staff. Manage and promote employee engagement platforms such as Intranet, Viva Engage, etc to NIEC staff; create new ideas to drive staff traffic to participate and use the various engagement tools and platforms. Draft and design communication messages/materials/visuals to promote staff engagement, well-being, culture building and learning, such as infographics, electronic direct mailers, videos and visuals using online applications. Training Administration Manage and administer training applications and maintain the training records. Monitor the utilisation of training budget, internal and external training places and KPIs, and update senior management on the training analysis. Process invoices for training courses/programmes and monitor payments related to training and prepare monthly training report to Finance. Provide administrative support and coordinate with training providers and staff for in-house workshops, talks and sharing sessions. Process and compile training evaluation, feedback and post evaluations reports. Maintain eTraining modules in HRMS. Manage HR-developed eCourses in LMS/Canvas. Design communication materials for initiatives. In order to ensure that training applications and accurate payment are processed timely and in-house learning workshops are scheduled promptly. Onboarding Programme Arrange and conduct Bee-Welcome (onboarding briefing) to new joiners within their first month of work. Maintain and update new hire’s listing records, send welcome email and Onboarding checklist to new hires during their first day of work. Maintain, review and update onboarding slides, information and related assimilation programmes. Develop self-directed learning materials to onboard new hires. Coordinate and manage the administration (AOR, budget, attendees, presenters, etc) and logistic support (venue, refreshment, training materials, etc) for the Bee-Acclimatised Programme. Track and maintain the attendance and evaluation records for the Bee-Acclimatised programme in HR shared folder. In order to ensure that new hires are adequately briefed and assimilated into the NIEC culture. NIEC Scholarships & Sponsorship Administration Support the sponsorship application process, prepare Letters of Undertaking for selected staff, manage and monitor staff claims for the sponsored amount as well as their respective minimum service period (MSP). In order to ensure a smooth execution of the NIEC scholarship/sponsorship scheme to support staff development. Other ad-hoc duties to support the HR Development team Liaise with various HR Devt content owners to maintain the HR Hub, ensuring up-to-date HR policies, information and resources are listed. Support L&D Manager in work related to learning & development initiatives and other HR projects. Job scopes may be adjusted periodically depending on the needs of the organisation and HR strategic focus. Job Requirements Diploma or Degree, preferably in HR/Business Administration or related discipline. At least 3 years of experience in HR, preferably in L&D or Employee Engagement, would be advantageous Strong organisational and planning skills, with the ability to manage multiple tasks and priorities effectively. Strong verbal and written communication skills, with the ability to collaborate professionally with internal and external stakeholders. Proficient in digital tools and Microsoft Excel/Data, with the ability to use design and multimedia applications to create infographics, visual content, and videos. Meticulous and detail-oriented. Able to work independently while demonstrating initiative. Strong analytical and problem-solving skills, with the ability to think creatively and develop practical, resourceful solutions.
