Job Summary: We are looking for a proactive and detail-oriented Sales Operations Coordinator to support the day-to-day operations of both our Sales teams. In this role, you will be responsible for coordinating customer orders, inventory movements, delivery schedules, and operational reporting to ensure smooth and efficient business operations. You will work closely with internal departments, external customers and logistics partners, to ensure timely order fulfilment and excellent service levels. Key Responsibilities: Sales Order Management Process customer orders accurately and create Sales Orders (SO), Delivery Orders (DO), Invoices, Credit Notes, and other sales-related documents in SAP. Coordinate order fulfilment and follow up on pending orders to ensure timely delivery. Maintain accurate sales records and documentation. Handle product sample requests, staff purchases, and other sales support activities. Liaise with customers regarding order status, delivery schedules, and sales enquiries. Inventory & Warehouse Coordination Monitor inventory levels and daily stock movements to ensure stock availability. Coordinate stock transfers between warehouses and storage locations. Work closely with warehouse partners on inbound, outbound, and inventory-related activities. Support stock reconciliation, stock adjustments, inventory verification, and stocktake exercises. Investigate inventory discrepancies and escalate issues where necessary. Logistics Coordination Arrange deliveries with third-party logistics providers and coordinate delivery schedules. Monitor shipment status and ensure on-time deliveries to customers. Handle return goods, short shipments, Out-of-Stock (OOS), and delivery-related issues. Support import shipment coordination and prepare Shipping Invoice & Packing List (SIPL) documentation for permit applications. Reporting & Operational Support Generate regular and ad hoc reports using Microsoft Excel. Maintain sales, inventory, and operational trackers. Monitor inventory performance and identify potential stock shortages or ageing inventory. Support inventory forecasting and operational planning. Assist in analyzing operational data and recommending process improvements. Billing & Administration Verify warehouse and logistics invoices against supporting documents. Assist in checking operational charges, including storage, transportation, pallet rental, and related costs. Maintain proper filing and documentation of operational records. Cross-Functional Coordination Work closely with Sales, Finance, Warehouse, Procurement, and Logistics teams to resolve operational issues. Coordinate with external customers, warehouse partners, and vendors to ensure smooth daily operations. Support continuous improvement initiatives to enhance operational efficiency. Perform other ad hoc duties assigned by the immediate superior or Management. Requirements: Diploma in Business Administration, Supply Chain Management, Logistics, or a related discipline. Fresh graduates are welcome to apply. Prior experience in Sales Administration, Operations, Customer Service, Logistics, or Supply Chain is an advantage. Experience with SAP ERP is preferred. Proficient in Microsoft Excel and Microsoft Office applications. Strong organizational skills with excellent attention to detail. Good communication and interpersonal skills. Able to multitask and prioritize work in a fast-paced environment. Positive attitude, proactive mindset, and willingness to learn.
