Working Hours: 8:30 am to 5:30 pm (Monday to Friday) Flexi work arrangement (Core working hours is 11am - 3pm) AWS + Variable Bonus Provided Working location: Buona Vista Research Support Office (Secretary, Pharmaceutical company ) ■Executive Assistant to CEO and Administration Head: • Provide full spectrum of secretarial support to CEO and Administration Head including but not limited to calendar management, coordination of meetings, travel arrangements, preparation of presentation materials and expense claims. • Coordinate and liaise with internal and external parties for all meetings and conferences arranged. • Support in preparation of manuscripts (e.g. media interview, review, textbook). • Ad-hoc duties as and when required. ■Administrative tasks and Office Management: • Preparation of invoices and documents. • Coordinate with internal and external parties on documentations and delivery of items. • Ordering of materials needed for shipment such as dry ice, boxes and etc. • Prepare various reports as and when needed by the management. • Provide secretarial and administrative support to the various research committees • Handle general office administration such as setting up meeting rooms which includes setting up of video and teleconferencing. • Provide administrative support to HR team on interview arrangements and safe travel entry applications when required • Ad-hoc general administrative support as and when required. Job Requirements: • Degree holder of any discipline with minimum 1 year of secretarial experience in the sciences/ pharmaceutical/ medical related industry. • Related experiences in providing secretarial support to various institutional reviews • Experienced in reading and extracting literature reviews from medical articles. • Proficiency in Japanese Language is a must to liaise with Japanese speaking employees, external clients and Japan HQ.
