You will collaborate closely with multiple departments including Sales, Trade Marketing, Accounts Receivable, and Finance to reconcile trade spend balances and support month-end closing activities. You will have the chance to contribute to process improvements, centralise claims activities within Finance, and participate in internal and external audits related to trade spend and customer claims. What you'll do: As a Trade Claim Spend Executive based in Singapore, your day-to-day responsibilities will revolve around maintaining the highest standards of accuracy in processing distributor and customer claims. You will be instrumental in validating documentation for Operating Activities (OA) and Marketing Fund (MF) transactions, ensuring every claim is thoroughly checked before approval. Your role involves monitoring workflows for timely postings, liaising with various teams to confirm compliance with contractual terms, reconciling deductions with Accounts Receivable, performing regular checks for discrepancies or risks, and enhancing centralised finance processes. You will also manage trade spend reconciliation between SAP ECC systems and tracking files, prepare monthly reconciliations against commercial approvals, provide detailed variance analyses, support month-end closing activities by delivering reconciled balances, respond to audit requests related to trade spend or customer claims, and propose improvements for greater alignment within Finance. Success in this role requires you to be dependable, collaborative, attentive to detail, adaptable as the scope evolves, and committed to supporting your colleagues across departments. Process and approve distributors’ and customers’ trade-related claims such as promotional invoices, credit notes, and deductions in accordance with established company guidelines. Validate the completeness and accuracy of claim documentation including supporting agreements, contracts, and promotional proof of performance to ensure compliance. Escalate any discrepancies found in claims to relevant teams such as Sales or Trade Marketing for corrective actions while ensuring timely follow-up on agreed resolutions. Monitor claim workflows consistently to guarantee timely approvals and postings across all systems involved. Liaise regularly with Sales and Trade Marketing teams to confirm that all transactions comply with contractual terms and conditions. Co-operate with the Accounts Receivable team to reconcile deductions efficiently and ensure proper clearing of open items within financial records. Perform periodic checks on claims processes to identify discrepancies, overdue claims, or potential risks that may impact business operations. Enhance the centralisation of claims activities within Finance by proposing improvements that align with organisational goals. Reconcile Trade Spend balances between SAP ECC systems and tracking files to guarantee consistency across managerial P&L statements. Prepare monthly reconciliations between SAP/financial estimates versus Commercial team approved spend while providing variance analysis and explanations.
