Job Summary We are seeking a proactive, hands-on, and highly motivated Administrative Assistant to support the daily operations of the business. This role combines administrative responsibilities with marketing coordination and event support. The ideal candidate is organized, resourceful, enjoys multitasking, and is willing to take initiative in a fast-paced environment. Key Responsibilities Administrative Support Provide day-to-day administrative support to the team and management. Manage correspondence, filing systems, records, and documentation. Prepare reports, presentations, meeting materials, and other business documents. Schedule meetings, coordinate appointments, and manage office calendars. Maintain office supplies, pantry inventory, and general office upkeep. Assist with data entry, invoice processing, and other administrative tasks. Marketing & Brand Coordination Coordinate with external vendors for the production of marketing materials such as posters, brochures, banners, name cards, and promotional merchandise. Assist in preparing marketing collateral and ensuring timely delivery of materials. Support the execution of marketing campaigns and promotional activities. Liaise with designers, printers, and suppliers to ensure quality and deadlines are met. Assist in maintaining the company's social media pages and website updates where required. Event & Operations Support Assist in planning, coordinating, and executing corporate events, exhibitions, seminars, and recruitment activities. Coordinate event logistics, including venue setup, registration, materials preparation, and vendor communication. Provide on-site support during events and ensure smooth event operations. Work closely with internal teams and external stakeholders to ensure successful event execution. General Responsibilities Liaise with vendors, suppliers, and service providers on operational matters. Handle ad hoc projects and assignments as directed by management. Support cross-functional teams whenever required and contribute to continuous process improvements. Requirements Minimum Diploma or equivalent qualification. Prior experience in administration, marketing support, or event coordination is an advantage. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook). Excellent organizational and multitasking skills. Strong communication and interpersonal skills.Able to work independently while also being a collaborative team player. Hands-on, resourceful, and willing to take ownership of tasks. Highly motivated, proactive, and able to thrive in a fast-paced environment. Comfortable coordinating with multiple vendors and managing competing priorities. Preferred Qualities Creative mindset with an eye for detail. Positive attitude and willingness to learn.Ability to adapt quickly to changing priorities. Experience with Canva, basic graphic design, or social media management is a plus.
