We are seeking a hands-on and independent Account & HR Executive to join our team. This role is responsible for managing the company’s finance operations while supporting HR coordination, corporate administration, office operations, and inventory administration. As we operate in a lean SME environment, the successful candidate must be comfortable handling multiple responsibilities, managing priorities independently, and working closely with management and external service providers. This role is suitable for someone who enjoys taking ownership, solving problems, and contributing beyond a traditional finance role. Key Responsibilities Finance & Accounting Manage daily finance and accounting operations for the company. Maintain accounting records for the operating company and dormant companies. Update and maintain monthly Profit & Loss statements, financial schedules, and management reports. Monitor cash flow, bank balances, and funding requirements. Manage Accounts Payable (AP), Accounts Receivable (AR), payment processing, and collection monitoring. Prepare payment schedules, bank reconciliations, and supporting financial documents. Liaise with outsourced accounting firm on monthly accounts closing, GST reporting, journal entries, and financial statement reviews. Review financial reports and follow up on accounting adjustments when required. Coordinate with external auditors, tax agents, and corporate service providers on audit, tax, and compliance matters. Prepare supporting schedules and documents for annual audit and statutory reporting. HR & Employee Administration Coordinate with outsourced HR provider on monthly payroll processing, including submission of commission reports and payroll-related information. Liaise with outsourced HR provider on employee-related matters and communicate management instructions. Arrange company insurance coverage for new employees. Conduct employee onboarding and explain company policies, rules, and regulations. Maintain employee-related administrative records. Corporate Administration Liaise with corporate secretary on company incorporation matters, annual filings, and statutory compliance. Maintain company records, agreements, and corporate documents. Coordinate with government agencies, banks, and external service providers. Provide administrative and operational support to management. Office & Operations Support Manage office administration, including pantry supplies, office inventory, and general office requirements. Coordinate office maintenance, repair works, and cleaning services to ensure a safe and well-maintained workplace. Liaise with suppliers and external vendors for office-related services. Assist with procurement activities and vendor coordination. Support management with operational reports and ad hoc assignments. Inventory Administration Monitor inventory levels and maintain accurate stock records. Update stock movements and inventory records in the system. Prepare inventory variance reports and investigate stock discrepancies. Perform stock reconciliation and process approved inventory adjustments. Ensure accuracy of inventory data and supporting documentation. Requirements Diploma/Degree in Accounting, Finance, Business Administration, or related discipline. Minimum relevant experience in finance and administration roles Hands-on experience managing accounting operations and coordinating with outsourced accounting firms. Experience with accounting software; QuickBooks experience is preferred . Good knowledge of accounting principles, financial reporting, AP/AR, cash flow management, and Singapore statutory requirements. Familiar with GST reporting, audit coordination, and financial compliance matters is an advantage. Strong analytical skills with good attention to detail and accuracy. Able to work independently with minimal supervision. Strong multitasking skills with the ability to manage competing priorities and deadlines. Proactive, responsible, and comfortable working in a fast-paced SME environment. Good communication skills and ability to liaise with management, employees, suppliers, and external service providers. Proficient in both English and Mandarin (Chinese), written and spoken, to communicate effectively with management, colleagues, and Chinese-speaking stakeholders.
